Office Assistant
The Office Assistant is responsible for supporting the office, project, and administrative functions of Threespot's owners and business managers. This position will handle a wide variety of situations and conflicts involving the project, clerical, and administrative function of the office. Additionally, this person will manage routine and advanced tasks which can be of a confidential or time-sensitive nature, including correspondence, memoranda, and reports. Familiarity with creative agency concepts, practices, and procedures is a huge plus. Interest in marketing and communications, business management, or office management is important.
The ideal candidate must be able to work independently, relying on experience and judgment to prioritize and accomplish goals, but must also be able to identify potential project risk areas and ask for help from Threespot’s owners and business managers before tasks reach a crisis mode.
The Office Assistant will report to Threespot's owners and business managers on a task-by-task basis. This position is an ideal entry-level position, with significant opportunity for rapid growth; commensurate with skills and successes.
Qualifications
- Exceptional oral/written communication, budgeting, and scheduling skills
- Ability to generate high-level reports; sometimes using advanced knowledge of Microsoft Excel
- Ability to multitask in a fast-paced environment
- Ability to manage high-pressure situations with professionalism, enthusiasm, and humor
- Ability to manage and maintain processes with dedication and intelligence
- Proven ability to meet tight deadlines
- Commitment and professionalism
- Proofreading ability a plus
Responsibilities
- Scheduling and managing travel schedules for the entire company
- Scheduling and confirmation of external meetings
- Facilities management and upkeep
- Performing as an advocate for the company Intranet, ensuring that it is arranged logically, formatted properly, and consistently updated as necessary
- Supply management
- Weekly report generation
- Support for tasks including but not limited to expenses, timetracking, and errands
- Drafting correspondence
- Additional responsibilities as skills deem appropriate
